Their lack of print management software meant that monitoring and controlling document related costs and accounting for potential billable work was a manual and time consuming process that was not a productive use of the administration staff’s time.
Following a period of consultation with key stakeholders and subsequent visits to Canon and Ricoh showrooms, Maples Teesdale’s requirements were distilled. The recommendation was to implement a fleet of Ricoh Colour Multifunctional devices and also Ricoh Desktop Printers. These devices were enabled with the Professional Print Management software Equitrac.
The new fleet enabled Equitrac users to look up and enter a matter reference against all copy and print. The application also gave Maples Teesdale increased visibility and accountability against users and departments delivered through a weekly report.
The added benefit of the Equitrac system is that it was also compatible with the companies practice management software. The new solution has also given the added benefit of Follow Me Printing, which enables staff to collect prints from any enabled device of their choosing whilst providing secure document release for tighter compliance.
Overall copy and print volumes were reduced thereby making Maples Teesdale significant savings.
Printing habits were changed as a result of the software’s ability to purge unnecessary print jobs and force smarter rules.
The new devices delivered increased performance, functionality, reliability and print quality.
