SME reduces costs with new robust print device

The Challenge

In-toto were using a single Brother desktop multifunctional device for all of the business’ document production including printing, copying, scanning and faxing This included drawings and plans for kitchen designs, technical instructions for contractors and general business documents such as letters and purchase orders.

Having analysed their running costs it was discovered that their Brother device, whilst cheap to buy, was costing In-toto approximately £280 per month in consumables. Although the printer was capable of producing the necessary documents it was starting to become unreliable after just 2 short years.

The print speed was slow with some of the larger documents In-toto produced, however the scanning facility was a feature proving to be extremely useful for the business. Upon further investigation it was found that In-toto’s paper consumption per month was approximately 1,000 pages with an average cost of 20p per page.

The Solution

DMC Canotec were able to rectify In-toto’s print problems with a simple solution. A Canon iR-ADV250iF desktop device was supplied to replace the firm’s existing Brother device. This was done without days’ worth of consultation or high levels of 3rd party supplier involvement. In order to give full visibility over toner levels and meter readings, DMC Canotec’s own 3D Print View software was implemented.

A 3rd party IT provider was brought in at this point to install In-toto’s driver and set up individual scanning folders on the business’ server. In-toto were advised to purchase the hardware as it would last longer than the maximum 5 year term that a lease could provide. This also means that the business now will only pay for what they use.

The Benefit

In-toto have benefitted from a more robust piece of equipment capable of handling a small office’s needs with more than one user, set up to provide simple one touch scanning for each member of staff with colour services as needed.

The printer driver was installed twice with a mono only version set as the default with the other driver able to have colour selected by the end user if necessary. With these amendments the cost of running the device has plummeted. By using DMC Canotec’s 3D Print View software In-toto have negated the need to think about ordering supplies for the device, as they are now automatically ordered and delivered in time to be used. The business can also now see how much money is being saved.

Within the first six months, In-toto have spent £91.38 on service charges. Had DMC Canotec not made the changes, over £1,600 on consumables alone would have been spent, representing a saving of over 90%.
